OpenTable sends us 200+ reservations a month that we would not get otherwise. The guest management, table mapping, and server section features work well for our 80-seat dining room. The per-cover fee of $1-2.50 is the real cost though — on a busy month we are paying $400+ to OpenTable on top of the subscription. It is essentially a marketing cost for guaranteed butts in seats.

Homebase Basic plan gives us free employee scheduling, time tracking, and team messaging for our 12-person restaurant. Employees clock in and out on a shared tablet, I build schedules in the app, and everyone gets notified instantly. The labor cost tracking helps me stay on budget. I genuinely cannot believe the free tier includes this much functionality. We might upgrade for the hiring tools eventually.

I run a cafe with 8 part-time baristas and 7shifts handles scheduling beautifully. The app lets staff set their availability and request time off without texting me. I can see projected labor cost as I build each week. For a small operation the Entrée plan at $35/month is reasonable. My only wish is that tip pooling was better integrated since we split tips daily.

Gusto processes our biweekly payroll for 30 employees without issues and the automatic tax filings save us real money versus our old payroll service. Where it falls short for restaurants specifically is tip reporting and allocation. The tip tracking features are basic compared to restaurant-specific payroll tools. We make it work with some manual tracking but a restaurant-focused improvement would help.

When we started our food truck, Square was the obvious choice — free POS app, free reader, and we only pay when someone pays. Handled our menu, tips, receipts, and daily reports from day one. We have since expanded to a small restaurant and still use Square alongside Toast. It is simple, reliable, and the barrier to entry is literally zero dollars.

Toast has all the features a restaurant needs, I will give it that. But getting set up was painful. The menu programming alone took three days of my time. Their onboarding support team was overwhelmed and responses were slow. Once everything was running the system worked great, but I almost gave up during the first two weeks. They need to invest in better implementation support.

We switched from Square to Toast and the difference is night and day for a full-service restaurant. Menu modifiers, kitchen display integration, tip management, online ordering — Toast understands restaurants in a way general-purpose POS systems never will. The hardware is purpose-built and survives a busy kitchen. Setup took a full week but it was worth every hour of configuration.
