Our accounting firm lives in Excel, Word, and Outlook. Copilot is embedded right where we work — drafting emails in Outlook, creating formulas in Excel, summarizing documents in Word. The Excel integration is the standout — it creates pivot tables, writes complex formulas, and analyzes data sets with natural language prompts. For a Microsoft-centric firm it is the obvious AI assistant to adopt.

As a Google Workspace shop, Gemini is the AI assistant that makes the most sense for us. It drafts emails in Gmail, creates presentations in Slides, and analyzes spreadsheets in Sheets without leaving the apps we already use. The free tier is generous and the Google One AI Premium subscription bundles with extra storage. For anyone already in the Google ecosystem, choosing another AI assistant makes no sense.

Otter joins our Zoom calls automatically, transcribes the conversation, and generates a summary with action items. We used to spend 20 minutes after each client meeting writing up notes. Now we review Otter's summary in 5 minutes and send it. For tax planning meetings where every detail matters, having a searchable transcript is invaluable. The Basic plan is free which is amazing.

I use Claude to analyze tax code changes, draft client advisory emails about new regulations, and create educational content about tax planning strategies. The writing quality is notably more professional than other AI tools I have tried. It handles ambiguity in tax law well and flags areas of uncertainty rather than making things up. For professional services where accuracy matters, Claude is my first choice.

We manage 80+ small business clients on QuickBooks and it remains the most reliable platform for multi-entity bookkeeping. Bank feeds work well, the accountant dashboard is solid, and most third-party tools integrate with it. My biggest complaint is that phone support quality has dropped significantly in the past year. Wait times are long and agents often cannot resolve complex issues.

During normal months Calendly is great — clients self-schedule their quarterly reviews and I never double-book. But during tax season I need to shrink availability drastically, and the override process is tedious when you have five appointment types. Would love seasonal scheduling rules.
